Health & Safety Scheduler
Full time in office – Downtown Toronto off of Union station
Monday to Friday 9-530pm
This is an office-based position responsible for planning and coordinating the schedules of a dedicated team of Health & Safety Consultants. As the Health & Safety Planner, you will manage calendars, confirm appointments, and ensure schedules align with established priorities and targets. A key part of the role involves optimising geographical planning to minimise travel and ensuring any cancellations are promptly backfilled to maintain consultant productivity.
The role requires full-time availability from Monday to Friday, typically between 9:00 a.m. and 5:30 p.m. Flexibility is essential, as business needs may vary based on client demand. There is strong potential for career progression for successful candidates.
Key Responsibilities
- Schedule Occupational Health & Safety (OHS) consultations for new clients.
- Actively contact existing clients to arrange their annual review appointments.
- Ensure consultant schedules are confirmed at least two weeks in advance, in accordance with targets set by the OHS Service Manager.
- Prioritise critical health and safety visits following workload reviews and strategic priorities, ensuring backfilling supports maximum productivity.
- Plan visits based on each consultant’s designated service area to reduce travel time.
- Confirm all appointments by Wednesday for the following week.
- Finalise and lock schedules by Wednesday, providing a spreadsheet summary and highlighting high mileage to the Team Leader.
- Prioritise and backfill cancelled appointments promptly, considering both geographic efficiency and appointment urgency.
- Reschedule any cancelled visits at the next available opportunity.
- During weekly schedule reviews, assess consultant availability up to four weeks in advance to manage capacity planning.
- Block out holidays (including bank holidays), training sessions, and birthdays in consultants’ calendars to avoid scheduling conflicts.
- Escalate any potential scheduling or productivity issues to the Team Leader in a timely manner.
Education and Experience
- A degree, diploma or certificate from an accredited health and safety education or training program (an asset)
- 1 to 2 years of previous Scheduling experience (preferred)
- Previous customer service experience

- A high level of computer literacy
