      Position: Scheduler

      Location: Fully on-site Monday-Friday in Downtown Toronto near Union Station

      Compensation: $55,000-$60,000+ perks (3 weeks of vacation, with increases after 2 and 5 years of service, employer-paid benefits, pension plan, team social events)

      The Role:

      As a Scheduler, you’ll play a vital role in supporting a team of dedicated HR Consultants by managing their calendars and confirming appointments in alignment with business priorities and productivity targets. Your goal is to maximize efficiency by minimizing travel through strategic geographic planning and ensuring all cancellations are promptly backfilled to maintain productivity levels.

      Key Responsibilities:

      • Coordinate and schedule HR consultations and face-to-face client meetings
      • Manage travel logistics for in-person meetings as needed
      • Proactively contact existing clients to arrange HR consultations and service review meetings
      • Ensure HR Consultant schedules are confirmed at least two weeks in advance in line with performance targets
      • Prioritize scheduling for critical clients and fill gaps promptly to optimize Consultant productivity
      • Rebook cancelled appointments at the next earliest availability
      • Maintain a clear overview of consultancy availability four weeks in advance to support effective resource planning
      • Record all planned time off (e.g., vacations, bank holidays, training, birthdays) in Consultant calendars to prevent scheduling conflicts
      • Other related duties as required

      What You’ll Bring:

      • 1-2 years of experience in scheduling, resource planning, or workforce coordination (preferred)
      • 1-2 years of customer service experience
      • Excellent verbal and written communication skills
      • Strong interpersonal skills with a proactive and collaborative approach
      • Outstanding time management and organizational skills
      • Analytical mindset with effective problem-solving abilities
      • High level of computer proficiency and comfort with scheduling tools and platforms
