      Payroll Coordinator

      Overview:
      The Payroll Coordinator is responsible for preparing and distributing payroll for both unionized and non-unionized employees while maintaining accurate payroll records in compliance with internal policies and applicable legislation. Reporting to the Payroll Manager, this role supports payroll data administration across departments, assists with year-end activities, and collaborates with Finance and external vendors to ensure accuracy and compliance.


      Responsibilities:

      Payroll Processing
      * Prepare, process, and administer bi-weekly payrolls for assigned departments and specialized groups, including month-end remittances.
      * Act as the primary payroll contact for designated departments, addressing employee and manager inquiries promptly and professionally.
      * Support and act as back-up for unionized, full-time, and contractor payrolls as needed, including data entry, reconciliation, and system administration.
      * Calculate and process statutory holiday pay in accordance with applicable legislation, collective agreements, and internal policies.
      * Maintain complete and accurate payroll records – including onboarding documentation, direct deposit details, and employment contracts – ensuring data integrity and privacy compliance.
      * Process payroll for external production projects using appropriate payroll systems, coordinating with partners to ensure compliance with agreements and standards.
      * Provide Dayforce system support to employees, assisting with access, troubleshooting, and navigation of self-service tools.
      * Develop and distribute annual timesheets in alignment with payroll schedules and department needs.
      * Assist with year-end balancing, pension adjustments, and the preparation of T4, T4A, T4A-NR, and NR-4 forms.
      * Complete Records of Employment (ROEs) and other required documentation.
      * Reconcile employee sick banks at year-end and process required insurance or benefits-related requests.
      * Generate recurring and ad hoc payroll and HR reports as requested by leadership.
      * Ensure ongoing compliance with payroll legislation and reporting requirements.

      Accommodations Administration
      * Calculate and apply rent deductions per employee agreements and occupancy terms.
      * Audit deductions each payroll cycle and report discrepancies to HR leadership.

      Benefits Administration
      * Track and process employee reimbursements and coordinate payments.
      * Support benefits and retirement savings plan enrollments and terminations.
      * Adhere to all organizational health and safety policies and promote a safe work environment.
      * Perform additional duties as required.


      Qualifications:
      * Post-secondary diploma or equivalent in Payroll, Accounting, Finance, or a related discipline
      * 2-4 years of relevant payroll experience
      * PCP (Payroll Compliance Practitioner) certification preferred or in progress; CPA designation an asset
      * Strong understanding of Canadian payroll legislation, including CRA and ESA requirements
