Payroll & Benefits Specialist

Our client is seeking a Payroll & Benefits Specialist to join their Human Resources team in Mississauga. This position will be responsible for managing end-to-end payroll for approximately 300 employees across multiple business units, while supporting benefits and pension administration within a manufacturing environment.

The successful candidate will bring strong payroll expertise, a customer-service mindset, and the ability to thrive in a fast-paced environment. This individual will be a subject matter expert in payroll processes, compliance, reporting, and benefits administration, while helping drive continuous improvement initiatives across the organization.

Key Responsibilities

• Manage full-cycle payroll processing for both salaried and hourly employees across multiple locations.
• Ensure payroll is processed accurately, on time, and in compliance with federal and provincial legislation.
• Review, audit, and reconcile payroll data, identifying and resolving discrepancies in a timely manner.
• Maintain employee records and payroll information within ADP Workforce Now and related HRIS systems.
• Prepare and submit payroll remittances, including WSIB, EHT, and other regulatory requirements.
• Lead year-end payroll activities, including T4 preparation, reconciliations, and related reporting.
• Generate scheduled and ad hoc payroll reports, including labour, attendance, overtime, and headcount reporting.
• Serve as the subject matter expert for payroll and time & attendance systems.
• Respond to employee and management payroll inquiries with professionalism and urgency.
• Develop, document, and maintain payroll policies, procedures, and standard operating practices.
• Partner with leadership to improve payroll processes, controls, and efficiencies.
• Administer employee benefits and pension programs, including enrollments, and terminations.
• Review and reconcile monthly benefits invoices and pension remittances.
• Act as the primary point of contact for employee benefits and pension inquiries.
• Coordinate with external providers to support benefit renewals, program administration, and employee support.
• Assist with short-term and long-term disability administration in accordance with company policies.
• Support HR initiatives and special projects as required.

Qualifications

• Payroll Compliance Practitioner (PCP) designation is required or in progress.
• Minimum 5 years of payroll and benefits experience within a multi-site organization.
• Manufacturing industry experience is required.
• Strong knowledge of Canadian payroll legislation, remittances, compliance, and year-end processing.
• ADP Workforce Now experience is required.
• Experience processing both hourly and salaried payroll populations.
• Exposure to U.S. payroll is considered an asset.
• Experience working in unionized environments is considered an asset.
• Strong Microsoft Office skills, particularly Excel.
• Strong analytical, reconciliation, reporting, and problem-solving abilities.
• Excellent verbal and written communication skills.
• High level of accuracy, organization, and attention to detail.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Ability to handle confidential and sensitive information professionally.
• Strong customer-service orientation with the ability to build relationships at all levels of the organization.

Preferred Qualifications

• Experience supporting payroll in a multi-site manufacturing environment.
• Experience administering pension and group benefits programs.
• Strong process-improvement mindset with the ability to develop and implement best practices.
• Comfortable working independently while collaborating cross-functionally with HR, Finance, and Operations.
• Entrepreneurial and agile mindset with a proactive approach to problem-solving.
• Calm, professional demeanor with the ability to navigate complex payroll situations effectively.
• Experience developing payroll SOPs, controls, and process documentation.
